Sales invoices
Create compliant QR invoices, track their status and payment, export them as PDF or send them by e-mail.
Sales invoices are the invoices you send to your customers. They are accessed from Invoices and created in a dedicated editor.
Create an invoice
- Open Invoices then « New invoice ».
- Choose the customer (or enter their details). The structured QR address is filled in automatically.
- Add lines with description, quantity, unit price, code and VAT rate. You can drag and drop articles from your catalogue.
- Check totals (net, VAT, gross) calculated automatically with Swiss rounding.
- Save as draft, then issue the invoice when ready.
The Swiss QR invoice
On issue, Axolot generates the payment section with QR code to Swiss standards (SPS), including the QR reference or Creditor Reference (SCOR) depending on your configuration. Your customers pay by scanning the code.
Invoice statuses
| Status | Meaning |
|---|---|
| Draft | Being prepared, editable, not recorded. |
| Issued | Sent to the customer and recorded in accounting. |
| Paid | Full payment recorded. |
| Partially paid | A partial payment has been recorded. |
| Cancelled | Invoice cancelled. |
PDF, preview and sending
- HTML preview to check layout before sending.
- PDF download ready to print, with the QR payment section.
- Send by e-mail directly to the customer.
Payment tracking
Mark an invoice as paid or partially paid. The Bank page can also automatically link a transaction to the corresponding invoice.
