Close a year without being an accountant

Axolot checks your data, prepares your annual accounts and opens the next financial year automatically.

Open Annual accounts in the Accounting group. Axolot creates the current year, rebuilds your past years from the journal and immediately shows the checks to run.

What you see

Three figures in plain language, what you earned, what you spent and what is left, then your position at the end of the year. The detailed trial balance with account numbers stays collapsed at the bottom of the page, it is meant for your accountant.

Automatic checks

Draft invoices, receipts awaiting approval and pending bank transactions block the closing. Warnings inform without blocking, for example when the end of the year is already locked by a filed VAT return.

Telling Axolot something

The Tell Axolot something button asks what happened, never which accounts to use. A forgotten expense, revenue still to be received, an expense that was actually private, or a VAT return that was settled. The adjustment shows up in your figures right away, before the closing, and can be removed as long as the year is open.

One click to finish

  1. Check that the Everything is ready message appears.
  2. Report an adjustment if something is missing.
  3. Choose Close now and confirm.

Axolot freezes a sealed snapshot, closes the income statement accounts, transfers the result, protects the year and prepares the balances carried forward into the next one.

Non calendar year

If your financial year does not run from January to December, the Change the dates button adjusts the open year. Later years then keep the same rhythm.

Sending to your accountant

The Send to my accountant section gathers, on the page itself, everything your accountant expects. You do not have to wait for the closing to use it.

The Prepare the file for my accountant button produces a complete archive in one click. You only choose whether supporting documents are included; Axolot does the rest and sorts the files into numbered folders.

  • Annual accounts as PDF, balance sheet and income statement.
  • Detailed journal, general ledger, trial balance, opening balances and chart of accounts.
  • VAT returns and a control list that traces every AFC figure back to the invoices behind it.
  • Invoices and open items, on both the customer and the supplier side.
  • Bank transactions with their reconciliation status.
  • A note explaining to your accountant the period, the VAT method, the result and what still needs checking.

Files are semicolon CSV in UTF-8: a double-click opens them in Excel, Numbers, Crésus or Winbiz. The Journal_import file additionally follows the import format of Crésus, Winbiz and Abacus.

Below the complete file, Or just one part covers a hand-over during the year: pick the whole year or one of its quarters, with its real dates shown, then download the journal alone or the supporting documents alone. Quarters follow your financial year, not the calendar year.

Downloads and reopening

The PDF gathers the annual accounts and the CSV contains the detailed trial balance. An owner can reopen the last closed year by giving a reason. Axolot then removes only the entries it created itself, your invoices and expenses stay untouched.

Tip Keep the PDF with your documents for the year and hand it to your accountant when you want a professional review.
